Most import failures are metadata failures. Use this checklist before you generate Native XML or hand files to an import partner.
Download the CSV template (one sample row included).
Required fields
- section — must match an existing OJS section title
- title — article title as published
- authors — ordered; keep a consistent “Family, Given” pattern
- affiliations — aligned to author order
- abstract — plain text; strip footnotes
- keywords — semicolon-separated
- pages — e.g. 12-28
- pub_date — ISO date when possible (YYYY-MM-DD)
- galley_filename — relative path to the PDF
Strongly recommended
- orcid — per author when available
- doi — leave blank if none; do not invent
- license — e.g. CC BY 4.0
- language — ISO code (en, hi, …)
- Volume / issue / year columns if you are not batching one issue per file
Before you convert
- Every galley file exists and opens
- No duplicate titles inside the same issue
- Author names parsed (no “et al.” as a person)
- Sections created in OJS
- Import user account exists
